We are currently looking for an Human Resource candidate for a temporary position at the University of Windsor. Position would start asap and go until end of December 2026, but could go longer.
The Student Employment Clerk & Receptionist is responsible for the accurate and timely day-to-day administration of the employment process and the HRIS/Payroll system (VIP) as it relates to student workers, including international student workers. Accountable to manage the student personnel files, applications, validating SIN and Study Permits, ensuring employment eligibility and compliance to ESA, CRA, OHSA, Canadian Immigration & Citizenship, University and Collective Agreement policies.
Key Job Functions
1. As initial point of contact for students who have received a first employment contract, responsible to provide and ensure accurate completion of all hiring documentation including student employment contracts, gov’t tax forms, study permits, banking and personal information. Ensure all hiring forms are kept current and update. On an ongoing basis, responsible to review all contracts submitted from departments (campus wide), and ensure student meets all requirements to allow continued employment. Ensure all student positions are terminated on a timely basis to preserve the integrity of the UWin People database, and facilitate accurate recordkeeping. Respond to student questions, requests for forms, information, assistance and clarification of student employment internal policy and procedures. Receives and investigates student questions and concerns related to their employment contracts, with Payroll and the originating departments.
2. Accountable for the accurate and timely data entry/ update of all student worker information into the UWP system, allowing for peak periods of heavy volume, meeting immovable bi-weekly payroll deadlines. Review and validate employment data prior to populating UWP.
3. Audit, interpret & validate student employment eligibility in accordance with University (SIS), and gov’t tax and immigration policies. Using the Student eligibility report, determine GA, TA, RA eligibility to work, take further steps to investigate ineligible results, and advise student and the department when they cannot work in that role. Ensure legal documents (SIN and Study Permits) for International Students are valid, active and notify students when their legal documents are about to expire. Determine eligibility for Teacher’s Pension Plan membership for students working in the Faculty of Education and enroll as required. Follow up with new student workers to ensure all mandatory AODA and OHSA training is completed on a timely basis.
4. Responsible for responding to student inquires in the hrstudent mailbox. Respond to tickets in the tdx system regarding students having issues.
Essential Qualifications
- Post-secondary education in a related field with a human resource or business specialty.
- Considerable related practical knowledge and experience working with a human resource information system (HRIS) or similar data administration system.
- Intermediate MS Excel and Word skills.
- Must possess superior time management skills to accurately process a large volume of transactions in a fast paced work environment.
- Excellent analytical, interpretive, and problem-solving skills.
- Demonstrated ability to communicate clearly with tact and diplomacy as this position is a key point of contact for students, employees and other visitors.
- Excellent interpersonal skills, and the proven ability to build effective working relationships, with demonstrated decision-making and conflict management abilities. Confidentiality is a prime requirement.
- Self-motivated with strong organizational abilities, capable of functioning independently subject to multiple priorities and deadlines; flexibility to work effectively with numerous interruptions.
