Description
We are currently looking for a Faculty Assistant for the U of W. Someone with a Law background would be preferred but all candidates encouraged to apply. Position would start asap and go until approximately September 16th with the possibility of going longer.
The Faculty Assistant provides administrative assistance and support to Faculty members and law students.
Key Job Functions
1. General Administrative Support
• Provide daily student and faculty-facing assistance and redirect queries to appropriate department
• Organize and support Faculty academic events and programming
• Support faculty research projects with RA student hiring, expense processing and tracking (e.g. Centre for Cities, TLJN, etc)
• Prepare and proofread course outlines, exams, class handouts, course books, exams, reference letters, etc.
• Maintain course pages on the learning management system (LMS) i.e. Brightspace, uploading syllabi, handouts and other documentation
• Maintain faculty websites as needed
• Prepare, edit and post electronic curriculum vitae for faculty and maintain faculty SSHRC portfolios
• Prepare student hiring paperwork (i.e. internal salary contracts, hiring authorization forms) for research and/or tutorial assistant students and monitor hours
• Request orders of textbooks through the general office
• Prepare travel arrangements, process travel expense reports, and inform faculty on use of University of Windsor Travel Policy guidelines as required
• Assist in the course evaluation process as required
• Schedule rooms as required using room scheduling software
• Assist faculty with conference calling and other technical needs
• Replace General Office staff at the front desk, as required
• Assist in the training of new administrative staff as required
2. Student Assignments, Examinations and Grades
• Format and upload exams and assignments while ensuring accuracy and confidentiality and coordinate with the Academic Coordinator to expedite exams for Special Needs students
• Release take-home exams on the learning management system (LMS) at appropriate times, ensuring that accommodated releases are tracked and Statements of Non-Disclosure forms are completed prior to releasing exams
• Liase with the Office of the Academic Coordinator to track conflicts and accommodated students for assignments and exams; provide copies of final grades for release
• Notify accommodated students of altered due date and time for quizzes and exams
• Collect and sign out student exams, scan/copy all exams that are to be couriered out, and ensure student anonymity is maintained
• Generate and distribute special mid-term exam numbers as needed and grade multiple choice exams on request
• Deliver/pick up exam scantron sheets to IT Department for processing
• Co-ordinate collection of assignments, prepare and issue accurate receipts, ensure security of assignments and student anonymity once received (locked area/vault)
• Prepare individual packages for final exam viewing
Skills/Knowledge/Experience/Education required
• Diploma in Office Administration or, another degree and equivalent experience as it relates to the duties of the position
• General knowledge of the academic and administrative structure and processes of the University and the Faculty of Law
• Ability to work in a detailed, timely, efficient and confidential manner
• Ability to work independently with minimal supervision as well as part of a team environment
• Excellent written and verbal communication skills and excellent organizational and problem solving skills
• High level of computer literacy, the ability to learn new software systems
• Microsoft Suite (Intermediate Level mastery of Word and Excel), Learning Management System (Brightspace), and room scheduling software
• Basic knowledge of UWin Finance System or compatible system for processing expense claims
• Demonstrated commitment and success in working to create fair, inclusive, anti-racist environment and to supporting diverse constituencies and populations
• Must be able to multi-task and prioritize tasks
• Excellent human relation and customer service skills including the ability to work well with faculty and
students
