Description
We are currently looking for a Parking Assistant/Customer Service Clerk for a temporary position at the University of Windsor.
This position will go until approx. September 18th, 2025, with the possibility of an extension. Position will start immediately!
Duties are as follows:
1. Office Administration
- Provides front line customer service by responding to daily incoming phone calls, emails, and customers.
- Provides information to the University of Windsor parking patrons regarding rules and regulations, parking options (e.g., lot rentals, violations, appeal process and parking enforcement).
- Process cheques, debit and credit card transactions (including refunds) for payment of lot rentals, permits, tickets, deposits for cards, and visitor parking in AIMS (or other software).
- Completes response letter for appeals submitted to the office.
- Creates and updates customer files in the parking IT system.
- Orders office supplies and forms as needed.
- Responsible for office administrative duties (mail, open IT tickets and report down parking functions to facilities).
- Reviews report of any parking deduction changes and reflects change in parking IT system. Advises Parking Administrator of such changes.
- Runs various reports as required for the department.
- Dispatches Parking Enforcement Officers to review reported pay/display machine and garage issues etc.
- Review office procedures with Parking Enforcement Officers for purposes of coverage of front desk as required.
- Responsible for all billing letters. Prepare letters for outstanding tickets.
- Maintains the information for the appointment booking system, used to facilitate appointments and time off for the office.
- Willingness to attend conferences and training as approved and directed by Director
- Identify license plate ownership on Ministry of Transportation "MOT" Website as required.
- Track and maintain accurate license plate information for auditing purposes.
- Ensure accurate information from the MOT report is inputted into the parking database.
- Provides training to parking enforcement officers as required.
- Reviews list provided by HR and confirms employee status.
2. Permit Administration
- Ensures the proper documentation is submitted by permit holders and entered
in the parking system. - Processes and acts upon a lost/stolen permit report.
- Issues replacement permit with proper fee and maintain hot list for Enforcement Officers.
- Process guest parking requests and parking lot rentals.
- Input and track gate codes and other data as required in parking IT system.
- Assigns appropriate lot to accessible permit holders.
- Maintains files of all accessible permits on campus and request updated documentation as required.
- Process transferring of employee permits to other lots as required.
- Maintain accurate tracking of permit inventory.
- Attend campus events (e.g., Head Start) to provide parking information and sale of permits.
3. Financial Administration
- Tracks all accounts that are in arrears for purposes of payment plan as required.
- Provide monthly report of outstanding accounts to be sent to collections.
- Reconcile with the Finance Department to ensure all transactions are accounted for and identify any missing transactions for resolution.
- Reconcile the daily reports to the payment terminals.
- Produces guest reservation report for Administrator on a monthly basis for billing.
- Ensure proper documentation is provided for PCard and travel card transactions.
4. Other Duties as Assigned
- Includes back up to Parking Administrator as required
Skills/Knowledge/Experience/Education required/Essential Qualifications
- High school diploma
- Administrative experience as it relates to the duties of the position. Basic experience with Microsoft Office including Outlook, 365, Teams, Word, Excel.
- Basic skills or experience using point-of-sale, database or accounting IT tools
- Excellent customer service skills when responding to in person, over the phone or by email.
- Ability to maintain strict confidentiality and be able to exercise tact, diplomacy, discretion, integrity and sound judgement at all times.
- Accuracy and attention to detail.
- Excellent Interpersonal, verbal and written communication skills.
- Ability to multitask on a daily basis and during peak times in the office.
