Description
We are currently looking for an experienced Law Clerk/Receptionist for a short term position at the University of Windsor. Position will go until approximately December 20th, 2024 with the possibility of an extension.
Key Job Functions:
1. Reception
• Provides reception services to clients and general public for Community Legal Aid.
• Schedules appointments, maintaining the electronic calendar, responds to phone calls, general email accounts and directs calls.
• Assesses the financial and subject matter eligibility for new clients and make appropriate referrals to other legal and community services.
• Performs conflict checks on all clients and opponents on potential files.
• Prepares notarizations of documents and commission of affidavits and statutory declarations.
• Issues receipts for financial transactions and follows trust account procedures as required.
2. General Office Support:
• Responds to voicemail messages and distributes messages to relevant staff and students.
• Monitors the Community Legal Aid email inbox daily and forwards correspondence and communications to appropriate staff and students; print,
save to client electronic files and physical files.
• Distribute mail and confidential disclosure from tribunal and court proceedings.
• Print and distribute database records for student groups on a daily basis, including “bring forward sheets” for upcoming court dates, reminders and
open file lists.
• Update tickler system for new limitation periods and hearing and court appearances in electronic calendar. Maintain accuracy of tickler system
records.
• Type, edit, draft, copy and transcribe various correspondence and documents.
• Prepare and maintain physical client files, including closure of files and prepare for offsite storage as required
Skills/Knowledge/Experience/Education required
Essential Qualifications
• Background in law, as a Legal Secretary, Law Clerk, or Paralegal is required
• Excellent written and verbal communication skills in order to relay information in a clear and concise manner
• Excellent interpersonal skills, including the ability to demonstrate patience and sensitivity to clients.
• Ability to provide professional and courteous customer service to students along with a high degree of cultural sensitivity and cross-cultural awareness
• The ability to prioritize in the constantly changing demands of the job, as well as excellent organizational, multi-tasking and problem-solving skills.
• Ability to maintain tight deadlines and maintain accuracy in work
• Ability to work independently with minimal supervision as well as part of a team environment
• The ability to maintain strict confidentiality and be able to exercise tact, diplomacy, discretion, integrity and sound judgement at all times.
• Proficient computer skills including Microsoft Office Applications(Word, Excel, Outlook, Teams)
• Ability to obtain a police check.
• Must be able to be appointed and function as a Commissioner of Oaths by the Ontario Ministry of the Attorney General
